Full Lead Follow Up Process

DAY 1:

How to Follow Up with Leads You Speak With Right Away

Click on the leads name, in order to access their profile.

Now take a quick look at what the lead was looking at in the Activity section.

Call the lead and use the call log to specify what happened with the phone call.  When you are done selecting the correct "Call Result" and adding in any needed notes, click on Save.

If you got a hold of the lead, please go to the lead data section and specify

1. If they need to sell

2. Buying timeline

3. Selling Timeline

4. Whether they Own or Rent

If you would like to tag the lead please tag the lead with the appropriate tags.

Select the desired tags and click on Done, when finsihed.

Next you will need to set the lead up on the Automated Prospect Match - a campaign to send out just listings

To get started Click on E-Campaigns

Where you see "Select Campaign" you will select Automated Prospect Match and then Assign.  

Now click on Automated Prospect Match

Now click on V2 to create the search for the lead.

After clicking on V2, another internet tab will open up.  Please create the search for your lead.  Make sure the total results found is less than 75 and more than 0.  

When you are happy with the results, click on Save and Email Listings

 

How to Follow Up With Leads You Don't Talk To Right Away

Click on the leads name, in order to access their profile.

Now take a quick look at what the lead was looking at in the Activity section.

Call the lead and use the call log to specify what happened with the phone call.  When you are done selecting the correct "Call Result" and adding in any needed notes, click on Save.   If the lead doesn't answer DO NOT leave a voicemail on the first attempt. Click on Called No Message left.

Attempt to call the lead at least once or twice more for the day.  **only leave a message after the 4th or 5th call attempt.

If you did not get a hold of the lead on the phone and you need to click on the SMS tab to send them a text message.

 

NOTE: In order to use sms from the system, you will need to sign up for a third party provider. Please contact support at 905-712-1001 for help.

If you want to send out a personal text message just starting typing and click on the Send button.

Alternatively please click on the + beside the text box and select Global Response 1.  Then click on the send button.

Next please go to the lead data section and select UNKNOWN for

1. House to Sell

2. Buying In

3. Selling In

Next you will need to set the lead up on the Buyer Lead Campaign

To get started Click on E-Campaigns

Where you see "Select Campaign" you will select Buying Lead Campaign and then Assign.  

Now click on Buying Lead Campaign

Click on the V2 to create the search

After clicking on V2, another internet tab will open up.  Please create the search for your lead.  Make sure the total results found is less than 75 and more than 0.  

When you are happy with the results, click on Save and Email Listings

 

Now go ahead and close the V2 screen and move onto the next lead.

DAY 2 - DAY 30:

From day 2 to the end of the first month, it is imperative that you continue to reach out to your leads, especially those that you have not been able to get a hold of.

Therefore when you login, you need to first follow up with the new leads that you have in the system.  

Next you will need follow up with any tasks that you have that are due that day or anything that is over.  To see the list of tasks that you have due, click on the flag icon on the left hand side of your screen.  This will open up the Overview options.

Now you want to click on the Tasks option.

You will now be brought to a screen with all of your pending tasks.  You can go through your tasks one by one until they are all completed.  Everytime you click on a leads name, another internet browser tab will open up with the lead profile screen.

When you go into the leads profile, please make sure to login any phone calls that you make or enter in any notes.  

After logging in the calls or notes,  go to the task tab in the lead profile screen.

You will now see any pending or completed tasks that you have for the lead.

If you completed the task, please mark the task off as Complete.

If your task was a call, and you were not able to get a hold of the lead, it is a better to idea push the task.

When you click on Complete, the system will ask you the confirm that you completed the task.  Do so by clicking on YES.

If you are pushing the task, click on Push and then the system will ask you how do you want to push the task.  Do you want to push it by a specific number of Days, Hours or Minutes.

When you are done, click on Save & Close.

**NOTE: When you are pushing the task, keep in mind you are pushing it from the current due date

Ie: in the image below, the Current Due Date is 7/28/2017.  If you push the task by 1 day.  The new Due Date will be 7/29/2017.
