Updated :

Introduction

You can now build and customize your own lead capture forms directly within the Site Manager, giving you total control over the information you collect from your visitors. Whether you need a registration form, a customer feedback survey, or a way to capture leads, this tool makes it easy to build forms tailored to your business needs. By handling form creation yourself, you can save time and make adjustments on the fly.

Setting up your custom form page

Step 1: Creating the page

Before adding the widget, you first need to create a dedicated page for your form.

  • Log into the CRM: Open your CRM and enter your login details.
  • Go to the Websites tab: Access all your websites from the left-hand menu.
  • Open Site Manager: Click Site Manager to manage your domains.
  • Choose your website: Select the website where you want to delete a page.
    • In the left-side menu, click Page Builder (the first option on the dashboard).
    • Click the + icon to create a new page.
  • Choose your page type:
    • Select Form as the page type.
    • Pick your preferred layout (you can choose from 3 available layouts):
Layout 1: Stacked elements (text box, form, text box)
Layout 2:Text box and form on the left, sidebar with agent info/map on the right
Layout 3: Text box on the left, form as a side widget on the right
  • After selecting the preferred layout, you will have to name the page in order to proceed with editing the content

Tip: If you choose not to add any  additional text, the form will be centered, and no blank space will appear.

Step 2: Customizing Your Form

Once your page is created, you can edit the form by hovering over the widget and clicking Settings. This opens the form editor, where you can customize the questions and adjust form settings.

Form Basics

Edit the Title, Description, and Thank You Message to match your brand's voice.

  • Title
    • Default: “Registration Form”
    • Click to edit (up to 50 characters)
  • Description
    • Default: “Please complete all fields for more information.”
    • Update this text to provide context or instructions (up to 200 characters)
  • Thank You Message
    • Default: “Thank you! Your inquiry has been sent and we will get back to you as soon as possible!”
    • Customize this message to reflect your branding or add a personal touch (up to 200 characters)

CRM settings (Optional)

Form is fully customizable and can select the preferred lead source, tags and lead type directly on the form settings tab. This helps you streamline lead management and make these leads easy to distinguish in your CRM.

Note: If source is not defined, the system will set the page URL as the source in the CRM.

Send listing emails automatically

By default, saved search will not get triggered when a lead submits a custom form. If you would like to create a listing search when a lead registers, turn the toggle on for this setting.

When turned on, a Listing email criteria section will be displayed.  Choose filter criteria for listing emails that will be sent to leads when they submit their information.

Managing form questions

Your form comes with three default fields: Full Name, Email, and Phone Number. These are pre-filled and set as mandatory and cannot be removed.

  • In order to add a new question, click on “Add Question” at the bottom of the form.
    • Type your question (up to 200 characters).
    • Choose a field type:
      • Text Input (open-ended responses)
      • Single Select (dropdown with one choice)
      • Multi-Select (dropdown with multiple choices)
      • Date Picker (calendar pop-up for date selection)
      • Lead's Address (when submitted by lead, we will automatically save it as their Home address)
      • Custom Field (select one of the CF available in your CRM. Answers will be saved automatically in the corresponding custom field in the lead profile)
    • Use the toggle to make the field mandatory if needed
  • Editing & Deleting Questions:
    • Click on a question to edit the text or change the field type.
    • Use the trash icon to delete unwanted questions.
  • Rearranging Questions:
    • Click and hold the drag handle next to a question (three lines next to a question)
    • Move it up or down to change the order.

Pro Tip: Want to hide the form for logged-in users? Click the Hide form for logged-in users checkbox at the bottom of the form settings.

Step 3: Previewing and Saving Your Form

  • You can use preview to see what your form will look like.
    • Incomplete questions will be highlighted in red, so you can easily spot them and make adjustments
  • Save the form by clicking on the Apply button
    • Note: You won’t be able to save if there are empty or incomplete questions.

What happens after submission?

  • If a lead is logged in, the form auto-populates with their information. CRM data will not be overwritten — instead, the form submission will be saved as a note in the lead’s profile.
  • If a lead is not a part of your existing CRM database, we will create a lead profile in the CRM and we will save all submitted information in their profile as a note.

An email  notification will be sent to the main agent assigned to the lead in both cases. The email includes all submitted information, with a button to View Lead in CRM.
